AI automation and workflow systems

The admin handled, with a human in the loop.

Repetitive manual work replaced by reviewed, reliable automations: lead follow-up, onboarding, reporting and content operations. Assisted by automation, reviewed by people, auditable end to end. Designed and run from Cape Town for businesses across South Africa.

  • Timeline: 1 to 4 weeks depending on complexity
  • No lock-in contracts
How an automation runs

A person stays at the decision point.

  1. 01 Trigger The event that starts the work: a form, an email, a status change.
  2. 02 Automation The steps that used to be repeated by hand every single time.
  3. 03 Human review Anything that carries risk waits for a person to approve it.
  4. 04 Result The record, the message or the report lands where it belongs.
What we handle
  • Process mapping and workflow design
  • Automations for follow-up, reporting and admin
  • Integrations with your CRM, email and tools
  • Human review built into every workflow

Best fit: Teams losing hours to admin, lead follow-up, reporting or content operations.

Investment

Scoped per workflow on a call. Ongoing care priced by what we maintain.

Ranges are indicative in ZAR and confirmed after a scoping conversation. Once-off and monthly amounts are always quoted separately. No VAT is charged; KM Digital Solutions is not currently a registered VAT vendor.

This work is scoped per business on a discovery call rather than estimated online.

How it runs

Our approach

01

Process audit

We map the manual work, find what is worth automating, and say honestly what it returns.

02

Design the workflow

Triggers, steps, decision points and the places where a person reviews before sending.

03

Build and test

Workflows built and tested against real cases until they are boring and dependable.

04

Monitor and improve

We watch the runs, fix drift, and extend the system as your business changes and grows.

Proof we live with

We run our own agency on systems we built ourselves: task management, client records, billing, approvals and reporting in one private, login-protected application, plus a property inspection product currently in pilot with a founding property partner. When a business wants the same leverage, we scope a system around how it actually runs. Some clients call this a business operating system; we sometimes shorten that to AIOS. The name matters less than the outcome: less admin, fewer dropped balls, and information where you need it.

Scoped by application. We take on a limited number of system builds at a time so each one gets founder attention.

Before you ask

Questions we get asked

Straight answers

What stays human when you automate something?

The decisions. We automate the fetching, sorting, copying and reminding, and we leave approval, judgement and anything a customer will read directly with a person. A workflow that quietly sends the wrong thing to a client is worse than no workflow at all, so review points are built in deliberately.

How long does an automation take to build?

One to four weeks depending on how many systems have to talk to each other. A simple connection between two tools is quick. Anything touching invoicing, client records or approvals takes longer, because it has to be tested against the real awkward cases before it is allowed to run unattended.

What do you need from us?

A walkthrough of the task as it actually happens today, including the parts people quietly work around, and access to the tools involved. The exceptions matter more than the easy path: a workflow that only handles the simple cases creates more work than it saves.

What happens when something breaks?

Every workflow we build reports its own failures rather than failing silently, and there is always a manual way to do the job while it is being fixed. The ones we look after are monitored, and you are told when something needed attention, including the times you would never have noticed.

How is this priced?

Automation is scoped per business, because the cost is driven by how many systems are involved rather than by a package size. Small connections are quoted as a once-off. Anything we host and monitor for you carries a monthly amount, and both are named in writing before the work starts.
